Purpose:

Request for review and approval of an AppSheet-based Template intended to assist educators with classroom workflows, record management, and reporting.

Overview of Application Architecture

This application uses a teacher-owned, isolated AppSheet instance model.

A teacher accesses the application template and creates her own copy through AppSheet. Once copied:

  • A new, independent AppSheet application instance is created under the teacher’s own Google/AppSheet account.
  • The copied application is owned and controlled by the teacher’s account and thus, the school and district.
  • The application’s associated data sources are copied into the teacher’s own Google Workspace environment.
  • Student information entered into the copied application is stored within the teacher’s school-controlled Google environment, not within GoFurther Professional Development LLC systems.

Data Ownership and Access

GoFurther Professional Development LLC:

  • Does not host student data.
  • Does not maintain a database containing student records from teacher-created app copies.
  • Does not have ongoing access to teacher-created copies of the application.
  • Does not serve as a co-owner, co-author, administrator, or collaborator on teacher-created app instances after copying.
  • Does not access, review, modify, or manage student information stored within teacher-created copies.

Each teacher’s copied application operates as an independent instance controlled by that teacher and her organization’s Google Workspace environment.

Data Storage

The application uses Google Workspace resources associated with the teacher’s account after copying. Data storage, access permissions, retention settings, and account security controls are managed according to the policies and configurations established by the teacher’s school or district.

Security and Access Control

Teachers are responsible for maintaining appropriate security practices for their account and copied application, including:

  • Protecting account credentials.
  • Following district policies regarding student information.
  • Ensuring appropriate access permissions.
  • Obtaining required approval from school or district administrators.

Because each teacher receives an independent copy, teacher data is not combined into a shared database or multi-user environment managed by GoFurther Professional Development LLC.

FERPA and HIPAA Considerations

GoFurther Professional Development LLC does not make a determination that any specific school’s use of this application satisfies FERPA, HIPAA, state privacy laws, or district requirements.

Compliance requirements vary by organization. Schools and districts should review the application according to their own policies, technology requirements, contractual obligations, and data governance procedures.

Before entering student records or other protected information, educators should obtain any required approval from their school or district administration or information technology department.

Annual Data Management Feature

The application may include an annual school-year rollover reminder or expiration feature intended to encourage educators to complete reporting, preserve needed records, and begin a new school year with a clean data environment.

This feature is intended as a workflow and organization tool and does not replace district requirements for data retention, archival, or deletion.

Requested IT Review

We respectfully request review of this application architecture to determine whether use is permitted under district policies and Google Workspace configuration.

The primary points for consideration are:

  1. The application template is copied into the teacher’s own Google Workspace environment.
  2. Student data remains within the teacher’s organization-controlled environment.
  3. GoFurther Professional Development LLC does not maintain access to teacher-created application instances or student records.
  4. The application does not operate as a shared database across multiple schools or teachers.
